Reconcile the diary and checkout records before spending more to bring new demand into a process you cannot yet measure.
The common mistake: looking only at revenue
When a month underperforms, the instinct is often to sell more: launch a promotion, increase advertising or contact former clients. But more demand does not correct an operational mismatch. Before adding volume, identify where completed work and recorded revenue stop agreeing.
Five gaps worth checking
These examples do not prove that a problem exists in your centre. They are review points for any operation that depends heavily on memory and informal exceptions:
- Unrecorded session: a treatment is completed but has no matching checkout record.
- Extended session: the booked and charged duration is shorter than the time and resources actually used.
- Elastic package: a prepaid package delivers more sessions than its recorded balance because consumption is updated inconsistently.
- Unattributed discount: a reduction is applied without a recorded reason, approval or responsible team member.
- Unscheduled equipment use: a device is used without a matching appointment or treatment record.
What revenue reports cannot show
A checkout report describes recorded transactions. It cannot, by itself, show work that was never recorded. Reconciliation means comparing independent records rather than assuming that one system contains the complete story.

- 1Choose one ordinary day from last week and export or print its appointment diary and checkout records.
- 2Match them line by line: does every completed appointment have a transaction or documented reason for no charge, and does every relevant transaction have an appointment?
- 3Record each mismatch without assigning blame: appointment without checkout, checkout without appointment or unexplained discount.
- 4Calculate the value of the reviewed mismatches. If you project it across a month, label the result as an estimate and validate it with several days of data.
