Paying for hours nobody worked? Not anymore.
Anti-fraud clock-in that only counts from the center. Real hours, not someone's word. Clock-in, presence, leave and absences in the same app where you run the agenda.

Do any of these sound familiar?
If you run a center, you probably deal with at least one of these every day.
You don't know who's late, or whether they actually clock in from the center
An uncontrolled clock-in happens from home or via a colleague, and lateness and absences get argued from memory. You pay for hours nobody worked, and when a dispute hits you have nothing to fall back on.
Leave and time off are managed with WhatsApp and spreadsheets
Requests get lost, nobody knows who still has days left, and overlaps surface when it's already too late: one uncovered day is lost revenue.
Everyone sees things they shouldn't
Without per-person permissions, the front desk touches prices, someone edits clinical records, and sensitive data is within reach of the wrong people. A legal and security risk.
Schedules change every week and nobody has the correct version
Exceptions, replacements, last-minute absences... a management chaos that eats your time and leaves coverage gaps with no warning.
What you don't control, you're paying for
Every ghost hour comes out of your pocket: without digital team control, money leaks out through places you never see.
paid out without anyone working them, when clock-in isn't validated from the clinic
is what we see lost in centers managing schedules, leave and time off by hand
born from disagreements over hours worked, impossible to settle without a reliable record
And worst of all: without an objective record, every decision about your team rests on perceptions, not facts, and every dispute is argued with no proof.
Total team control. Effortless.
Unlike standard booking tools, Qleven actually runs your team: clock-in, presence, leave and absences in the same app where you run the agenda. And your team clocks in, flags an absence or a delay over WhatsApp, nothing to install.
Anti-fraud clock-in, WhatsApp too
Clock-in only from the center: per-clinic geofence, signed QR kiosk, trusted-network IP, or WhatsApp by sharing location. Lateness is detected at clock-in against each person's schedule, to the exact minute. And it auto-closes forgotten clock-ins.
Law-compliant leave & absences
Multi-level approval, per-employee balances and day counting that follows your country's law. Your team requests the absence from the app or flags it on WhatsApp, and once approved that person's agenda blocks itself.
Presence-based data access, per person
Granular permissions module by module, with per-clinic roles and per-user exceptions. Plus presence-based access control: starting with HR, team data (clock-ins, leave, absences) can't be pulled remotely without being on-site or holding the permission. A layer we're extending across more modules.
Schedules per employee and clinic
A weekly schedule of their own for each professional, with one-off and per-clinic exceptions. Set it once and the agenda respects everyone's real availability.
Skills & capabilities per professional
Define who can perform each service or category. The agenda only assigns qualified staff, with no assignment errors.
Productivity per professional
Appointments completed, clients attended, revenue and agenda value per person. Objective metrics for real conversations, not opinions.
Clock in, flag an absence or a delay over WhatsApp
Your team clocks in by sharing their location over WhatsApp and the system validates it against the clinic geofence: outside the perimeter, it doesn't count. From the same chat they can also flag an absence (logged as a pending HR request, respecting approvals and balances) or send a delay heads-up with the reason and ETA so the team knows right away.

Coordinate your team without chasing anyone on WhatsApp
Tasks and internal notices live inside the client and appointment record, not in scattered chats that get lost.
Tasks you can assign to the team
Create tasks with an owner and status, linked to the client or appointment. Everyone knows what's pending, and you see at a glance what's left to do.
Internal notices with read receipts
Send the team notices tied to a client or appointment and check who has read them. No more "I didn't see it": it's on record who read it and when.
The agenda only offers slots to whoever can and should work
An agenda that offers slots to unqualified staff, or a day that stays open when the center is closed, is a constant source of errors. Qleven gates every slot by skills and by real availability, down to a single day.
Skills-based assignment
Each service can require specific skills. The agenda only offers slots to professionals with those skills —global or per center—, with explicit allow/deny rules per service or category. Anyone not enabled never shows up as an option.
Their own weekly schedule, part-time included
Each professional has their own weekly schedule per center, part-time included: only certain days or certain ranges. The center shifts apply on top, with no need to rebuild the calendar by hand when someone works half days.
Open or close a single day without touching the rest
One-off date exceptions at professional, center and system level: open or close a specific day independently, without dragging the rest of the calendar along or redoing the base schedule.
Leave, absences and holidays built in
Approved leave and absences, plus recurring annual public holidays, are subtracted from real availability. The agenda never offers a slot that clashes with an already-granted absence or a holiday.
The agenda only offers slots to whoever can and should work
Skills per service or category plus a real schedule: no slot is ever offered to anyone unqualified or off-shift that day.
Open or close a single day without touching the rest of the calendar
Date exceptions act on a single day —for a professional, a center or the whole system— without altering the base schedule or the other days.
Real hours, no arguments
Anti-fraud clock-in, per-person permissions and law-compliant leave, in a single platform.

Does this sound like you?
Monday, 9:05. Two professionals still haven't arrived, yet the WhatsApp group already shows "clocked in". Nobody knows if it's true. The leave sheet lives in an Excel only the front desk understands, and last week two absences overlapped and one day was left with no coverage.
The real cost: you pay for hours nobody worked, you argue every dispute with no proof, and you lose revenue on the days you're short-staffed, without seeing it coming.
With Qleven, a clock-in only counts when done from the center (geofence, QR kiosk, trusted network, or WhatsApp with location). Leave is requested and approved with per-person balances and legal counting by country, and overlaps surface before they leave a gap. Real hours, no arguments.

Frequently asked questions
Everything you need to know about team control.
How does Qleven prevent fraudulent clock-ins?
With three anti-fraud methods you can combine: geofencing with a per-clinic perimeter, a signed rotating QR kiosk, and trusted-network gating by IP/CIDR (off, trusted or strict modes). So a clock-in only counts when done from the clinic, not from home or by a colleague.
Can different schedules be managed per professional?
Yes. Each professional has their own weekly schedule per clinic, with one-off exceptions. The agenda respects each person's real availability when assigning appointments.
How are leave and time off managed?
The professional requests from the app and a manager approves or rejects through a defined workflow (primary, secondary and second-level approver). The system keeps per-employee balances and counts days according to the leave policies of your country and legal entity.
Does the leave-day calculation follow the law?
Yes. Qleven counts days in calendar, working or effective mode, accounting for public holidays and the employee's real schedule, with policies per country and legal entity (legal references, paid percentage, seniority, carry-over).
Can I control who sees and does what?
Yes. With granular permissions per module, custom roles per clinic, and per-user exceptions (grant or deny) with reason and expiry. A single professional can hold several roles across several clinics.
Is it compliant with working-time recording rules?
Yes. It records clock-in and clock-out with automatic duration calculation and lateness detection, and auto-closes forgotten sessions. All clock-ins are stored securely and exportable for audits.
Do I have to switch away from WhatsApp?
No. Your team keeps using WhatsApp and from there clocks in and out by sharing location (validated against the geofence), flags an absence (logged as a pending HR request), or sends a delay heads-up with reason and ETA for the team. That delay notice is informational: official lateness is measured separately, at clock-in, against each person's schedule.
Do you migrate my data?
Yes. We support you through onboarding and migrate your information (professionals, schedules, clients and agenda) so you start with everything loaded. We go over it with you in the 15-minute demo depending on where your data comes from.
Is there a lock-in period?
No lock-in and no upfront investment. You start, try it with your team and decide. No commitment, no risk.
Does the agenda only offer professionals qualified for each service?
Yes. Assignment is gated by skills: a service with skill requirements is only offered to professionals with those skills (global or per center), with explicit allow/deny rules per service or category; those not enabled are excluded.
Can I open or close a specific day without affecting the rest of the agenda?
Yes. Date exceptions (professional, center and system) let you open or close single days independently, without dragging the rest of the calendar along.
How do I handle irregular shifts or part-time hours for the team?
Each professional has their own weekly schedule per center (part-time included: only certain days or ranges), with date exceptions and approved leave/absences. Non-standard rotations are modeled without rebuilding the schedule by hand.
