The two-key package check

Cross-check prepaid-session consumption with appointments and equipment use so package balances do not depend on memory.

The situation

A prepaid balance lives in the client record; equipment use lives in an appointment or device log. When those sources are never compared, a completed session can remain absent from the package balance without anyone deliberately taking it.

Illustrative centre — not a measured result

Imagine a ten-session package whose client record shows six sessions used while the verified appointment and device records show nine matching treatments. Three sessions require reconciliation. If the records confirm delivery, the package has provided 30% more sessions than its balance shows. This fictional example demonstrates the method; it is not a Qleven customer result.

The common mistake: making reception memory the package ledger

A prepaid package is a commitment to deliver defined services under agreed conditions. When consumption is updated only if someone remembers during a busy checkout, the balance can drift away from the services delivered.

The answer is a second evidence source and a documented reconciliation process, not suspicion or pressure on staff.

The method: two keys — balance and verified use

Each prepaid equipment session should have two records that can be reconciled.

  • Key 1 — Package consumption: record the completed session against the agreed balance at checkout, with a documented reason for any exception.
  • Key 2 — Verified treatment use: match the session to its appointment and, where safely available, the relevant device log or runtime record.
  • Weekly review: compare verified treatments with package consumption. Investigate differences by date and time, preserving the explanation and correction.
  • Fair-process rule: explain the control to the team, limit access appropriately and use the data to improve the process. Do not treat an unexplained difference as proof of misconduct.
